Job Title: Marketing & Communications Coordinator
Terms: up to 32 hrs/month, part-time contract
Pay: $25/hr
Start Date: November 2026
Are you inspired by Ballroom culture and empowering queer, trans, Black, Indigenous and People of Colour communities? Do you want to play a role in the continued growth of the Vancouver Ballroom community and programs? We’re looking for someone to support our fundraising, communications, marketing, and outreach to help sustain and grow our local Ballroom scene, including creating digital content, public engagement, and grant support.
Responsibilities
Monitor, respond to, and delegate emails from VBA’s general inbox.
Develop and update grant, fundraising, and organizational support materials.
Develop monthly email newsletters, including content, scheduling, and distribution.
Create engaging social media content for Instagram and Facebook, including posts, stories, reels, and videos.
Develop promotional materials for programs, classes, and events while following VBA Brand Guidelines.
Maintain and update the VBA website, including implementing SEO and accessibility improvements.
Coordinate online class registration and event ticketing.
Review and organize invoices and administrative documents.
Maintain organized files and records on Google Drive.
Support the planning and coordination of the Annual General Meeting (AGM).
Support the development of the Annual Report with the Executive Producer.
Support grant reporting, funder communications, and fundraising initiatives.
Provide general communications, administrative, and event support, including taking on additional responsibilities as capacity allows.
Requirements
Familiar with the Vancouver Ballroom Scene and Ballroom culture generally
Skilled in graphic design and basic photo editing
2+ years of experience in fundraising, marketing, communications or design (education, lived experience, and professional experience are eligible)
Experience writing engaging content for email and/or social media
Experience developing and managing grants or a willingness to learn
Knowledge of video/digital marketing or willingness to learn
Able to write clearly and concisely
Creative with a good eye for aesthetics and design
Highly organized; great attention to detail
Able to plan and prioritize work and meet deadlines
Able to work collaboratively with a small team
Committed to doing your best work
Ability to work evenings and weekends as required.
ASSETS/ PREFERRED
1+ years of experience as an active member of the Vancouver Ballroom Scene
Portfolio of previous work experience in fundraising, marketing, communications or design
Class 5 or 7 driver’s license or plans to obtain one
More Information
The Communications Coordinator will work closely with the Executive Producer, Savannah Sutherland. The position is mostly remote with occasional in person weekend/ evening work.
Due to the community based nature of our work, VBA prioritizes applications from people who are active members of the Ballroom community and identify as Black, Indigenous, People of Colour and 2sLGBTQ+.

Applicants invited for an interview will be asked to share an example of their communications work, which could include a poster, social media campaign, report, video content, etc. Applicants who are interviewed will be provided a $50 honorarium for their time. If you are shortlisted, you will be invited to a 1.5 hour virtual interview with the Executive Producer and 1-2 VBA Board Members. We will provide the interview questions in advance.
